Field service lives or dies on the job sheet
Field service firms, from gas and electrical contractors to fire safety, HVAC, lift, security and facilities maintenance companies, all share the same loop: a job is booked, scheduled, attended, certified, invoiced and paid. Every step that relies on paper or a phone call slows cash flow and risks a missed compliance visit.

Certificates and regulations
- Gas safety: under the Gas Safety (Installation and Use) Regulations 1998, landlords need an annual gas safety check by a Gas Safe registered engineer and must give tenants a copy within 28 days. Engineer apps must capture the record correctly and get it to the landlord quickly.
- Electrical: EICRs are made against BS 7671. In England, the Electrical Safety Standards in the Private Rented Sector (England) Regulations 2020 require inspection at least every five years, so landlord clients rely on accurate due dates.
- Fire safety: fire detection and alarm servicing against BS 5839-1 and emergency lighting against BS 5266-1 generate logbooks and certificates that responsible persons need under the Regulatory Reform (Fire Safety) Order 2005.
- F-gas: refrigerant handling records and leak checks for air conditioning and refrigeration.
- Lone working and RAMS: risk assessments and check-ins for engineers on their own.

Integrations
Simpro, Commusoft, BigChange and Joblogic offer APIs or partner integrations. We sync jobs, customers, sites and assets with your portal or bespoke tools, and send invoices to Xero, QuickBooks or Sage as soon as a job is signed off. From call to cash: a typical reactive job
Here is how a reactive job flows once the system is in place. A facilities manager logs a fault through the customer portal, choosing the site and asset and adding photos. The system checks the contract: is the asset covered, what is the response time, is there a cost limit before approval is needed? It creates a job with a deadline and suggests the nearest engineer with the right skills and van stock.
The engineer accepts on the app, the customer gets an arrival notification, and on site the engineer sees the asset's history and previous certificates. They record the fault, work done, parts used and photos, complete any required certificate, and get a signature. If more work is needed, the app raises a quote for office approval.
On sign-off the job closes, the certificate is emailed and stored in the portal, parts come off van stock, and the invoice goes to Xero or QuickBooks with the job sheet attached. If the contract has a monthly billing arrangement, the job is added to the next contract invoice instead. The office only touches the exceptions.

Should we buy Simpro or Commusoft or have software built?
If a package fits most of your workflow, buy it. dijitul builds where packages fall short: custom certificates, unusual contracts, client portals or integrations. We say which in the first chat.
Can engineers use the app with no signal?
Yes. dijitul builds engineer apps that store jobs, forms, photos and signatures on the device and sync when signal returns, with checks so nothing is lost or uploaded twice. Plant rooms, basements and rural sites are fine.
Can you build digital gas and electrical certificates?
Yes. We build structured forms that validate required fields and produce PDF certificates, then store each record against the property and asset and track the due date for the next inspection, with reminders to you and your customer.
Can you schedule planned maintenance automatically?
Yes. We model contracts, assets and maintenance frequencies, including SFG20 schedules where you subscribe to them, and generate visits automatically, with alerts for anything overdue and reports showing contract compliance for each customer.
Can jobs be invoiced straight to Xero?
Yes. When a job is signed off, labour, parts and charges are posted to Xero, QuickBooks or Sage as an invoice with the job sheet attached, and a payment link can be included so the customer can pay by card straight away.
