When off-the-shelf booking tools stop fitting
Simple booking apps are fine for one person taking one type of appointment. They struggle when a booking needs several resources at once (a therapist and a room, an engineer and a van, a trainer and six pieces of kit), when durations vary by service, when travel time between jobs matters, or when different customer types see different prices and slots. Businesses end up with a booking tool plus a spreadsheet plus phone calls to sort out clashes.
A bespoke booking system puts all of those rules in one place. It knows what each booking needs, checks every resource at once, and only offers slots that genuinely work.
Owning the system also changes the economics. Many booking platforms charge per booking, per staff member or a percentage on top of card fees, and they own the customer relationship and the data. With a bespoke system, bookings come through your own website under your own brand, customer data sits in your database, and growth does not raise your platform bill.

Getting availability right
Availability is the core of any booking system and where cheap builds go wrong. We model working hours, holidays, breaks, buffers between bookings, minimum notice, maximum advance booking and resource dependencies. When two people try to book the last slot at the same moment, the system uses database transactions and row locking so only one succeeds, rather than both receiving confirmations.
For engineers and drivers, we can add postcode lookups and travel time estimates so the diary does not offer a 9am in Leicester after an 8am in Lincoln. Postcode validation uses a UK address lookup service, which is covered on postcode lookup integration.
Payments, deposits and no-shows
Taking a deposit or full payment at booking is the most effective way to cut no-shows. We integrate Stripe Payment Intents so card payments meet Strong Customer Authentication, store cards for later charges where customers agree, and apply your cancellation rules automatically: full refund before a cut-off, partial or none after. Reminders by email and SMS go out at the times you choose, with a link to reschedule rather than simply not turning up.
Paid bookings can create invoices or sales receipts in Xero or QuickBooks, so takings reconcile without manual entry. See Stripe integration for detail.
Handling the awkward cases
Real booking systems spend most of their logic on exceptions. We plan for them during scoping rather than discovering them after launch:
- Rescheduling that keeps the original payment and applies any price difference
- Group and multi-person bookings that need several staff or seats at once
- Recurring bookings, such as weekly classes or monthly services, with skip and pause options

Calendars, staff apps and reports
Staff often want bookings in the calendar they already use. We sync with Microsoft 365 calendars through Microsoft Graph and with Google Calendar, both ways where needed, so a dentist appointment in a staff member's own calendar blocks their booking availability. Staff and engineers get a mobile view of their day, built as a progressive web app, with directions, customer notes and the ability to mark jobs complete.

Frequently asked questions
Can the booking system take deposits?
Yes. dijitul integrates Stripe so customers pay a deposit or the full amount when booking, with Strong Customer Authentication handled. Your cancellation rules then decide refunds automatically, and payments can be posted to Xero or QuickBooks.
How do you stop double bookings?
dijitul checks every required resource at once and uses database transactions with row locking, so if two people try to take the last slot at the same moment only one booking succeeds. Phone and email bookings go through the same system.
Will it sync with Outlook calendars?
Yes. We use Microsoft Graph to sync bookings to Microsoft 365 calendars and can read staff calendars so personal appointments block availability. Google Calendar is supported in the same way.
Are there per-booking fees?
No. A booking system built by dijitul is yours, so there are no per-booking or per-staff platform fees. Card processing fees from Stripe still apply, and hosting and support are optional ongoing costs.
Can it handle engineer travel time?
Yes. For plumbers, installers, cleaners and other field service and mobile businesses, dijitul can factor postcodes, travel time and engineer skills into availability, so the system only offers slots that are realistic to reach and the diary is not overfilled.
