Sound familiar?
- You bought Zoho One and only use a fraction of it
- The CRM still has the default modules and nobody uses half the fields
- Deals are tracked in Zoho but invoices are typed into Xero
- Someone wrote Deluge scripts years ago and nobody knows what they do
- Integrations stop working because they point at the wrong Zoho data centre
- The sales process lives in people's heads, not in the system
Key facts
- Zoho CRM editions: Free for up to three users, then Standard, Professional, Enterprise and Ultimate
- Blueprints enforce the steps of a process; workflow rules automate actions
- Deluge functions handle custom logic inside Zoho without a separate server
- Zoho CRM API version 8 uses OAuth 2.0 and data-centre-specific domains such as zohoapis.eu
- API calls draw from a daily credit allowance set by edition and user count
- Independent: we do not resell Zoho or earn licence commission
Configuring Zoho around how you work
Zoho CRM is very configurable, which is both its strength and why so many accounts end up messy. We start by mapping how you win and deliver work, then design the modules (standard ones like Leads, Contacts, Accounts and Deals, plus custom modules where you need them), the fields and validation, page layouts for different teams, and the roles and profiles that decide who sees what.
Zoho's own pricing page lists a Free edition for up to three users, then Standard, Professional, Enterprise and Ultimate. Features such as Blueprints, custom modules and the number of custom functions depend on the edition, so we recommend the edition that covers what you need rather than the top tier by default. Many businesses already have Zoho One or CRM Plus; we check what you are paying for and use it.
Reports and dashboards are planned alongside the fields. We agree the few figures that matter, such as enquiries by source, conversion by stage and forecast by month, and make the fields behind them mandatory at the right step, so the dashboards can be trusted.
Blueprints, workflows and Deluge
Blueprints turn a process into enforced steps: a deal cannot move to "quoted" until a quote is attached, or to "won" until a purchase order number is entered. Workflow rules then automate the follow-on actions, such as creating tasks, sending emails or updating related records, and assignment rules route new leads to the right person.
When the built-in actions are not enough, Deluge, Zoho's scripting language, runs custom functions inside Zoho without a separate server. We use it for calculations, cross-module updates and calls to other systems. Deluge is easy to start and easy to tangle, so we keep functions small, named clearly, commented and stored in version control outside Zoho. If you have inherited scripts nobody understands, we review and document them as part of a clean-up.
Integrations through the Zoho CRM API
Zoho connects natively to its own apps, such as Zoho Books, Zoho Forms and Zoho Desk, and the marketplace has connectors for many others. Where those fall short, or the system is your own, we build integrations on the Zoho CRM API, now at version 8. A few details matter:
- Data centres. Zoho runs separate data centres, and each has its own domains. An account on the EU data centre authenticates at accounts.zoho.eu and calls zohoapis.eu. Integrations that assume the .com domains fail, which is a common cause of broken connectors for UK accounts.
- OAuth 2.0. Access tokens last an hour and are refreshed with a long-lived refresh token, stored encrypted on our side.
- API credits. Calls draw from a daily allowance that depends on edition and user count; Zoho's API limits page puts the Free edition at 5,000 credits a day. Some calls cost more than one credit, so we use bulk APIs and COQL queries rather than record-by-record loops.
- Notifications. Zoho can call our endpoint when records change, so the sync reacts in seconds rather than polling.
Common builds include Xero invoicing from won deals, website forms that create leads with proper source tracking, and links to stock, job or customer portal systems.
Data, residency and UK GDPR
Most UK Zoho accounts are hosted in Zoho's EU data centre. Zoho has also announced a UK data centre in London; trade press reported in April 2026 that it was targeting a launch in the second quarter of 2026. If UK-only hosting matters to you, we check with Zoho what is available for your account before setup. We configure consent fields, data retention rules for stale leads, and export permissions, and we import data with duplicates merged and history linked to the right records. See data migration.
Imports are rehearsed first. We load a copy into a Zoho sandbox or test account, check record counts, spot-check a sample with your team, and fix the mapping before the real load. Owners, created dates and notes are preserved where Zoho allows, so a contact's history does not start from the day of migration.
Getting started
Tell us what you sell, how deals move and which systems need to talk to Zoho. We will recommend an edition, design the setup and give a fixed-price quote. Existing Zoho accounts that have grown messy can be audited and cleaned up on the same basis. See also CRM integration, or book a free chat.

How it works and what it costs
Every project gets a fixed-price quote after a free initial chat and a short scoping stage. You own the code and the data.
Free chat
Tell us the problem in plain English: what you do now, what goes wrong and what "better" looks like. No charge, no obligation.
Scoping
We map the processes, systems and data involved, agree what is in and out, and write it down so there are no surprises.
Fixed-price quote
You get a fixed price for the agreed scope, or a phased plan for bigger builds, so you can start small and prove it works.
Build and test
We build in short stages you can see and try, test against real data, then go live carefully with a rollback plan.
Hand over and look after
You own the code and the data. We can host it, support it and keep improving it, or hand it to your own team.
Frequently asked questions
Are you a Zoho partner?
No. dijitul is an independent developer and does not resell Zoho or take licence commission. We recommend the edition that covers your needs and use what you already pay for, such as Zoho One or CRM Plus.
Which Zoho CRM edition do we need?
Zoho offers Free for up to three users, then Standard, Professional, Enterprise and Ultimate. Blueprints, custom modules and function limits vary by edition. dijitul maps your process first, then recommends the lowest edition that does the job.
Why does our Zoho integration keep failing?
A common cause is the wrong data centre. Zoho accounts on the EU data centre must authenticate at accounts.zoho.eu and call zohoapis.eu. Expired refresh tokens and exhausted daily API credits are the other usual suspects, and dijitul checks all three.
Can you connect Zoho CRM to Xero?
Yes. dijitul builds integrations so won deals create Xero invoices with the right contact and items, and payment status flows back to Zoho, using the Zoho CRM API and the Xero API with OAuth 2.0.
What is Deluge?
Deluge is Zoho's scripting language for custom functions that run inside Zoho. dijitul uses it for calculations, cross-module updates and calls to other systems, keeping each function small, documented and stored in version control.
Is Zoho CRM data stored in the UK?
Most UK accounts are hosted in Zoho's EU data centre. Zoho has announced a London data centre, reported in April 2026 as targeting a mid-2026 launch. dijitul checks current availability with Zoho for your account if UK-only hosting matters.
