## Logistics runs on data that arrives late

Transport and warehousing businesses live on thin margins and tight timings, yet a lot of the data that drives them still moves on paper. A job comes in by email, is planned on a whiteboard, the driver gets a printout, the POD comes back crumpled, and the invoice goes out a week later. ## Integrations: telematics, TMS, customs and accounting

Telematics providers such as Webfleet, Microlise and Samsara publish APIs for vehicle positions, driver status and events. We pull those into job screens for live ETAs and exception alerts. Courier APIs differ a lot in quality, so we wrap each in an adapter with retries, so a carrier outage does not stop despatch.

For international moves, HMRC's Customs Declaration Service (CDS) has replaced CHIEF for imports and exports. Most operators file through a customs broker or software provider; our role is usually to collect commodity codes, values and consignor details cleanly so the declaration data is right first time.

## Regulations that shape transport software

- **Operator licensing and DVSA:** O-licence holders must keep maintenance records and driver defect reports. Digital walkaround checks with timestamps and photos make that evidence easy to produce.
- **Drivers' hours and tachographs:** DVSA guidance says vehicles on international journeys needed smart tachograph version 2 retrofits by 31 December 2024 (analogue and digital units) and 19 August 2025 (smart version 1). Software that downloads or imports tachograph data must handle the newer formats.
- **Customs:** CDS data standards for anything crossing a border.
- **UK GDPR:** driver location data is personal data, so access and retention need rules, and drivers should know what is collected.

## Getting proof of delivery to invoice in minutes

The single biggest win for most hauliers and couriers is closing the gap between delivery and invoice. Here is how a typical flow works once built. The driver scans the consignment, captures a signature and photos, and the app records GPS position and time. If there is no signal, the record waits on the phone and uploads later with its original timestamp. As soon as the POD lands, the system checks the job against the rate card, adds waiting time from arrival and departure times, applies the current fuel surcharge table, and creates the invoice line.

Customers on account receive a daily or weekly invoice with POD links. Customers who pay per job get a payment link. Exceptions, such as a refused delivery or damage note, go to a queue for the office to review before anything is billed.

Because each step is timestamped, disputes become simple: the customer can see the signature, photos and times. That evidence also helps with insurance claims and customer service. The same data drives on-time delivery reporting by customer, route and driver.

Yes. dijitul builds driver apps that store jobs, signatures and photos on the device and sync when signal returns, with checks so a POD is never lost or uploaded twice.

### Can you connect to several couriers at once?

Yes. We wrap each carrier API, such as Royal Mail Click and Drop, DPD, Evri and DHL, in an adapter so staff create labels and track parcels from one screen, and tracking updates flow to customers automatically.

### Can you pull live vehicle positions from our telematics?

Usually, yes. Webfleet, Microlise, Samsara and most modern telematics providers publish APIs. dijitul uses them for live ETAs on customer portals, geofenced arrival and departure times for waiting time charges, and alerts to the office when a job is running late.

### Do we need to replace our TMS or WMS?

Not necessarily. Many projects integrate with an existing system and add the missing piece, such as a customer portal or driver app. We only suggest replacement when the existing system cannot be integrated sensibly.

### Can the system calculate fuel surcharges and waiting time?

Yes. We encode your rate cards, fuel surcharge tables and waiting time rules, so invoices are calculated from job data and timestamps rather than by hand. Invoices are then posted to Xero, Sage or QuickBooks with the job reference on each line.
