Updated: 2026-10-18

> dijitul developments sets up HubSpot CRM for UK businesses: pipelines, properties, clean data imports and workflows that match how you sell, plus custom integrations through the HubSpot API with Xero, your website and in-house systems. We are independent developers, not resellers. Every setup gets a fixed-price quote after a free chat.

## Problems this solves

- HubSpot was switched on years ago and nobody configured it properly
- Your contact list is full of duplicates from three old imports
- Deals are won in HubSpot and then retyped into Xero
- Sales and the office track the same customer in different places
- Website enquiries reach HubSpot but nobody is told
- An off-the-shelf connector syncs the wrong fields one way only

## Key facts

- HubSpot's Free tier covers up to two users; workflows need Professional or above
- Custom integrations use private apps or the HubSpot developer platform with date-based API versions such as 2026-03
- Private apps get 100 requests per 10 seconds on Free and Starter, and 190 on Professional and Enterprise
- Daily API limits are 250,000, 625,000 and 1,000,000 calls for Free and Starter, Professional and Enterprise
- HubSpot offers EU data hosting from its Frankfurt data centre
- Independent: we do not resell HubSpot or earn licence commission

## Setting HubSpot up around your process

HubSpot works well out of the box for a generic sales team and badly for everyone else until it is configured. We start by mapping how you actually win and deliver work: where enquiries come from, who qualifies them, what a quote looks like, when a deal is won and what happens next. From that we design the pipelines and deal stages, lifecycle stages, required properties at each stage, and the owner and team structure.

Getting the property model right matters most. Every field gets a clear name, a type that stops bad data (a dropdown rather than free text where possible) and a reason to exist. Unused fields are hidden, so the record view shows what your team needs and nothing else.

## Clean imports

Moving data in is where most HubSpot setups go wrong. We pull contacts, companies and deals from your spreadsheets, Outlook, an old CRM or an accounting system, clean them before import, and map them to the new properties. Duplicates are merged on email address and company domain, with rules agreed with you for which value wins. Associations between contacts, companies and deals are rebuilt so history appears in the right place. See data migration for how we test and reconcile a move.

## Workflows and plan limits

Automation is where HubSpot saves time: routing new leads to the right person, creating follow-up tasks, nudging deals that have stalled, notifying the office when a deal is won. On HubSpot's own pricing page, Smart CRM is free for up to two users, while multi-step workflows need a Professional subscription or above; Starter adds only simple, single-step automation. We tell you plainly which features need which tier, so you do not pay for Professional when Starter and a small custom integration would do, or the other way round.

We keep workflows readable: one purpose each, named consistently, with enrolment rules written down. Many inherited HubSpot accounts have dozens of overlapping workflows that fight each other, re-enrol records in loops or email customers twice. During setup or a clean-up we audit every active workflow, retire the ones nobody can explain and document the rest, so the next admin knows why each one exists.

Reporting is designed at the same time. Before we build a dashboard, we agree the handful of numbers the business actually runs on: new enquiries by source, conversion by stage, average deal value, time to close and forecast for the quarter. Each report then reads from properties that are required at the right stage, so the numbers are trustworthy rather than half-filled. Sales managers get a pipeline view, directors get a short summary, and nobody has to export to a spreadsheet to answer a simple question.

## Custom integrations through the HubSpot API

HubSpot's App Marketplace covers common tools, but connectors are often one-way, limited to standard fields or unable to handle your rules. We build custom integrations on the HubSpot API using a private app or a project on HubSpot's developer platform, with scoped access tokens. HubSpot has moved to date-based API versions, such as 2026-03, replacing numbered paths like `/crm/v3/`, and we build on current versions.

HubSpot's usage guidelines set the limits we design around. Privately distributed apps get 100 requests per 10 seconds on Free and Starter accounts and 190 on Professional and Enterprise, with daily limits of 250,000, 625,000 and 1,000,000 calls respectively, shared by every app in the account. The CRM search API has tighter limits of its own. We use batch endpoints, webhooks instead of polling, queues with backoff and idempotent updates so the sync stays inside those limits.

Typical builds include a two-way sync with Xero so won deals become invoices and payment status flows back, website forms that create contacts with proper source tracking, and links to job, stock or customer portal systems. See also CRM integration.

## Data protection and handover

HubSpot offers EU data hosting from its Frankfurt data centre. We set up consent and subscription types for UK GDPR and PECR, define retention for old leads, and limit who can export data. At the end you get admin documentation, a recorded walkthrough and a handover session. Everything stays in your HubSpot account and your code repository. Book a free chat to get a fixed-price quote.

## FAQs

### Are you a HubSpot partner?

No. dijitul is an independent developer and does not resell HubSpot or take licence commission. That means we can tell you honestly which tier you need, and whether HubSpot is the right CRM at all.

### Which HubSpot plan do we need?

It depends on what you want to automate. HubSpot's Free Smart CRM covers up to two users, and workflows need Professional or above. dijitul maps your process first, then recommends the lowest tier that does the job, sometimes with a small custom integration instead of an upgrade.

### Can you connect HubSpot to Xero?

Yes. dijitul builds two-way integrations so won deals create Xero invoices with the right contact, items and tracking, and payment status flows back into HubSpot. We use webhooks and the Xero API with OAuth 2.0 rather than nightly exports.

### What are the HubSpot API limits?

For privately distributed apps, HubSpot allows 100 requests per 10 seconds on Free and Starter and 190 on Professional and Enterprise, with daily limits of 250,000, 625,000 and 1,000,000 calls. dijitul designs integrations with batching, webhooks and queues to stay inside them.

### Can you clean up our existing HubSpot account?

Yes. dijitul audits properties, pipelines, workflows and data quality, merges duplicates, retires unused fields and fixes broken automations, then documents the result. Clean-ups are quoted at a fixed price like new setups.

### Where is HubSpot data stored?

HubSpot offers EU data hosting from its Frankfurt data centre. dijitul checks your account's hosting region, sets up consent and subscription types for UK GDPR and PECR, and limits data export permissions.
