## Why accounting integration is different

Most integrations move data. Accounting integrations move money records, and they have to satisfy your accountant, HMRC and your auditor as well as your staff. A missing stock update is annoying. A duplicated invoice or a wrong VAT code is a correction to a filed return.

That's why our accounting work starts with a short session with you and, ideally, your accountant. We agree how each sale should land: which nominal codes, which VAT rates (standard, reduced, zero-rated, exempt, outside scope, reverse charge for construction services), which tracking categories or departments, and whether to post one invoice per order or a daily summary.

We've done this since our first big integration: a KashFlow and OpenCart link that created customers automatically, raised invoices when orders were paid, kept stock and prices in sync, and issued credit notes for cancelled orders.

## The packages we work with

Each package has its own API, quirks and commercial terms. Our dedicated pages go into detail:

- QuickBooks integration: the QuickBooks Online Accounting API, rotating refresh tokens and Intuit's App Partner Program, which meters data-out calls.
- Sage integration: the Sage Accounting API v3.1 for the cloud product, and different routes for Sage 50 and Sage 200.
- KashFlow integration: IRIS KashFlow's REST API, and our longest-running integration experience.

If you're choosing a package as well as integrating it, the API matters: some make it far easier than others to get line-level data in and payment status out.

## Getting payments and reconciliation right

The part most off-the-shelf connectors get wrong is payments. A customer pays an invoice by card. Stripe or another payment gateway takes its fee and pays out a batch of transactions days later as one bank deposit. If the integration simply marks the invoice paid, your bank feed shows a deposit that matches nothing.

We handle this properly. Typically the payment is posted to a clearing account for the gateway, the fee is posted as a separate expense, and the payout is recorded as a transfer from the clearing account to the bank. The bank feed then matches the payout exactly, and the clearing account balances to zero. Refunds and disputes follow the same pattern. It takes more thought up front and saves hours every month.

## Common accounting integrations we build

## Choosing a package with integration in mind

If you're choosing or changing accounting software, consider the API alongside features and price. Questions we ask:

- **Can it accept line-level detail** with tracking categories or departments, or only summaries?
- **Does it send webhooks** when an invoice is paid, or must your system keep asking?
- **What are the rate limits**, and do they suit your order volumes?
- **What does API access cost** under the provider's developer terms?
- **How are tokens managed**, and how often will someone need to reconnect?

Xero, QuickBooks Online and Sage Accounting all have mature REST APIs with OAuth 2.0. Desktop packages like Sage 50 can be integrated, but need a local connector. We'll give a neutral view: we build for all of them.

## How a project runs

After a free chat, we scope the integration using a sandbox or demo company in your accounting package, so nothing touches live books during development. ### Will the integration handle VAT correctly?

Yes, if it's designed correctly, which is why we agree the VAT mapping with you and your accountant before building. Each product or service is mapped to the right tax rate in your accounting package, including zero-rated, exempt and reverse-charge cases. The accounting package then produces your Making Tax Digital VAT return as normal.

### Should invoices be posted individually or as a daily summary?

It depends on volume and what your accountant needs. Individual invoices give full detail and customer-level reporting; daily summaries keep high-volume shops within API limits and keep the ledger tidy. dijitul can build either, or both, such as individual invoices for trade customers and summaries for retail sales.

### Is there a charge from the accounting software provider for API access?

Sometimes. Xero introduced tiered developer pricing in March 2026, and Intuit's App Partner Program meters some QuickBooks API calls. A single business connecting its own organisation often falls into a free tier, but not always. dijitul checks this during scoping so there are no surprises.

### Can you migrate historical data into our new accounting package?

Yes. dijitul can import historical customers, suppliers and invoices through the API, or prepare clean files for the package's own import tools, depending on volume and what your accountant needs. Opening balances are usually best entered by your accountant, and we will coordinate with them.
